Email Service Update
For Town Web Municipalities
Last year, we identified a lapse in service from one of our email vendors, Rackspace, which did not meet our or your expectations. As a result, we made the decision to transition to a new vendor that can offer even better service, reliability, and security for your emails. We are excited to inform you that we will be migrating your email service from Rackspace to Google Workspace over the next few months.
Cost is a crucial consideration for your municipality. While Google Workspace does come with a higher price tag than the current provider, we believe the enhanced benefits and improved service will be well worth it.
To help you make the best decision for your organization, we are offering three options for your email service going forward:
Option 1: Town Web Migrates You to Google Workspace
- Town Web will handle the migration from Rackspace to Google Workspace, ensuring a smooth transition.
- The cost per email address will be $6.00/month, and an additional $6.00/month with email archiving (total $12.00/month/user).
- Town Web will provide email support with a 50% support fee on top of the email costs.
Option 2: Pick an Alternative Email Vendor
- You can choose an alternate email vendor, and Town Web will guide and assist you in the migration process.
- If you have pre-paid for Rackspace email addresses through Town Web, we will keep your email active through the term. However, you would need to switch to a new vendor by your next billing cycle.
- Any unused credit will be applied to your next hosting bill if you switch to an alternative vendor before the term ends.
Option 3: Stick with Rackspace
- If you prefer to stay with Rackspace, you will need to appoint a main point of contact from your municipality for support.
- Your Rackspace emails will remain active through Town Web until December 31, 2023, or until your pre-paid term expires.
- You will be responsible for setting up your dedicated Rackspace account and billing directly with Rackspace.

We want to inform our trusted clients about an upcoming change to our email service. We have decided to migrate all email hosting to Google Workspace to enhance user experience.
The move offers powerful tools, reliable cloud storage, and advanced security measures. Although the cost will be higher, we are committed to providing excellent customer service. Clients will be given three options to choose from in order to accommodate their needs and preferences.
Option 1: Town Web migrates you from Titan to Google Workspace. Town Web remains your main point of contact for email support.
- Town Web will migrate each of your Titan email accounts to Google Workspace.
- The cost per email address will be the retail rate of Google Workspace (currently $6.00/month per email address).
- With email archiving, the total cost per email address will be an additional $6.00/month (for a total of $12.00/month/user).
- Town Web will charge a 50% support fee on top of the email costs.
- The new email cost will be the following (including the Town Web support fee):
- Google Workspace with archiving - $18/mo/user = $216/year/user
- Google Workspace w/o archiving - $9/mo/user = $108/year/user
- Town Web's support fee is included in both email costs.
We will start performing migrations from December 1, 2023 until January 15, 2024.
Option 2: Your organization can pick an alternative email vendor. This new email vendor will be your main point of contact for email support.
- You can select an alternate email vendor.
- Town Web will provide guidance and assistance to migrate your email addresses from Titan to an alternate vendor.
- You should expect the email vendor to migrate your emails from Titan to their service. If you decide to switch to an alternate email vendor we will credit your account for the remaining weeks/months of email usage before the next billing date.
- The credit will be applied to your next hosting bill. If you go with option 2, your email will need to be migrated to a new vendor before or on January 15, 2024.

Option 3: You stick with Titan: purchase emails from one of Titan's partners, and the partner/reseller will be your main contact for support.
- This decision involves two steps:
- You will need to appoint an individual from your municipality as the main point of contact.
- Backup your email > after the email service with Town Web expires > import the data into the newly created email account.
- Setup account (after emails expire) and purchase emails from one of Titan's partners, and the partner/reseller will become your main contact for email support.
- Your emails will remain active through Town Web until January 21, 2024.
